Kaptino · last updated 5 October 2026
Kaptino is for organising football matches between friends. This page describes exactly what the app stores, who can see it, how long it is kept and what remains when you leave. It is written from how the product actually works, including where the answer is uncomfortable.
To delete your account, including without the app: section 8.
1. Who is responsible
Kaptino is published by STROUKS COMPANY (SASU, SIRET 94814067800012), the controller of your data.
For any question, to exercise your rights or to report a problem: contact@kaptino.com.
2. What Kaptino stores
Your account
You sign in with a link sent by email, without a password. Kaptino keeps your email address, an internal identifier, the name you display, your language, your notification preferences, the list of members you have blocked, and a technical token for each device on which you have allowed notifications.
Your account record is readable only by you: neither a teammate nor a captain can read it. The only situation in which your email address is visible to someone else is your request to join a group: it is shown to that group's captains, so they know who is asking to join.
Your place in a group
A captain creates a player record with your name, your positions, your shirt number and your status (active or not). This record is readable by all members of the group.
Matches
Date and time, pitch (name, address and precise geographic coordinates), format, duration, price per player, team line-ups, poll answers (in, out, substitute) and the free-text notes attached to them, comments in the discussion thread, goals and assists. All of this is readable by the members of the group concerned.
Votes
Player-of-the-match votes and superlatives are not anonymous in the database. The app only shows the aggregated result, but the stored data links your identifier to your vote, and it is readable by the members of the group. Do not vote assuming secrecy.
Your player card
A photo of your face if you add one, country, favourite club, position, progression statistics and, if you declare it, the date until which you are unavailable.
Your card, including your photo, is readable by anyone signed in to Kaptino, not just your group: the card is made to be exported and shared. The photo's download address does not expire: anyone who has obtained it once can come back to it. Kaptino removes the image's metadata (including its location) before storing it.
A declared unavailability is just a date: Kaptino neither asks for nor stores a reason. A long absence is still information from which a reader can draw a conclusion. We would rather say so than stay silent about it.
Captain notes
A captain can record a reliability note about a player (no-show without notice, late cancellation, lateness, behaviour) along with free text. These notes are readable by the group's captains only, and the player concerned does not see them in the app. They are kept with no time limit. To find out what has been written about you, or to ask for it to be corrected or deleted, write to contact@kaptino.com.
Reports
You can report a player or a piece of content. The report records who is reporting (identifier and name), the group, the person or content reported, the reason, the date, any text you add, a copy of the reported content and, where applicable, the address of the reported person's card photo, so that the report can still be reviewed even if the content is deleted in the meantime. The report is not readable by any user, including its author and the captains: it is reviewed outside the app.
The group's captains may, however, receive a notification that a member has reported a given player or a piece of content, without the name of the person who reported it.
Blocking a member
You can block another member from their profile. Their comments in match chats are then hidden for you only: nothing is deleted, the other members still see them, and the person you blocked is not told. The list of members you have blocked is kept in your account record, which only you can read, and you can unblock them at any time.
A group's subscription
A captain can subscribe their group from the app. Payment goes entirely through their phone's app store (Google Play on Android, the App Store on iPhone), which collects it: Kaptino never sees the payment method or bank details.
At the time of purchase, Kaptino sends the store the group's internal identifier (on iPhone, a code derived from it), so it knows which group to unlock. To verify the purchase and follow the subscription, Kaptino then stores: the purchase identifier provided by the store, the chosen plan, the start and end dates of the paid period, the auto-renewal status, the number of players in the group at the time of purchase and the identifier of the account that paid. This information is attached to the group and readable by its members.
3. Why, and on what legal basis
- Running the service you use (GDPR, Art. 6(1)(b), performance of a contract): your account, groups, matches, votes, your player card and a group's subscription.
- Our legitimate interest (GDPR, Art. 6(1)(f)): crash reports, to fix bugs; reports, for moderation; captains' reliability notes, to organise the group; keeping goals and assists after someone leaves, so that teammates' history stays accurate. You can object to this processing by writing to contact@kaptino.com.
- Your consent: notifications, which you turn on from the app and can turn off at any time.
4. People who do not have an account
Kaptino lets a captain add a player who has no account, and a member add a guest for a match. In both cases, the name of a person who does not use Kaptino is recorded by someone else, and becomes readable by the members of the group.
If your name appears in this way without you having an account, you have the same rights as our users. Write to contact@kaptino.com: we will have the record removed or corrected.
5. What leaves your group
Most data is visible only to the members of the group. Three deliberate exceptions are worth naming:
- Invitation and challenge links. Anyone who has the code can read, without being signed in, the group's name and, for a challenge, the date and place of the match. This is what lets someone without an account open the link and see what it is about. The code alone gives no access: joining a group requires a captain's approval.
- Player cards and their progression history are readable by anyone signed in to Kaptino.
- Discovery by pitch. If your captain turns it on, your group appears, with the pitch where it plays and its usual time slot, to anyone signed in to Kaptino, who can browse the teams of a whole city. Never its players. It can be turned off in the group settings.
6. Who the data is shared with
Kaptino sells nothing and shares no data for advertising purposes. There is no audience measurement or advertising tool in the app. The following technical providers are involved:
| Provider | Why | What it receives |
|---|---|---|
| Google (Firebase) | Sign-in, database, photo storage, notifications, servers | All the data described above. Database and photos hosted in the European Union (region europe-west1, Belgium). |
| Google Crashlytics | Crash reports, to fix bugs | The technical crash report, the device model, the system version, and an installation identifier. On by default, with no consent screen. |
| Google Play | Collecting a group's subscription and managing its renewal, on Android | The internal identifier of the subscribed group. The payment itself (payment method, billing) is handled by Google Play under its own privacy rules; Kaptino has no access to it. |
| Apple (App Store) | Collecting a group's subscription and managing its renewal, on iPhone | A code derived from the subscribed group's internal identifier. The payment itself (payment method, billing) is handled by Apple under its own privacy rules; Kaptino has no access to it. |
| Google Places | Searching for a pitch when you type its name | The text you type in the search field, a search-session identifier and, if the group has a usual venue, that venue's coordinates to favour nearby pitches. Never your device's location, which Kaptino does not read. |
| MET Norway (Norwegian Meteorological Institute) | Showing the weather forecast for the match | The pitch's coordinates, and the IP address of the device that asks. Only a captain's device asks; the forecast is then stored on the match for everyone. |
| Apple (APNs) | Delivering notifications on iPhone | The content of the notification, which may include a player's name. |
Google may process some of this data outside the European Union, notably in the United States. These transfers are covered by the safeguards provided for by the GDPR: the EU-U.S. Data Privacy Framework, to which Google adheres, and the European Commission's standard contractual clauses included in its data processing terms.
7. How long it is kept
| Data | Retention |
|---|---|
| Poll answers, comments, votes | 35 days after the match, then deleted automatically |
| Goals and assists | No limit: they make up the group's record and feed the statistics and the cards |
| Captains' reliability notes | No limit |
| Card progression history, challenges, matches between groups | No limit |
| Reports | 18 months after the report is made, then deleted automatically. Reporting the same player or content again does not extend it. |
| A group's subscription data | No limit for now, including after the account that paid is deleted: it is used to link a renewal or cancellation reported by the app store to the right group. |
| Account, groups, upcoming matches | As long as your account exists |
8. Deleting your account
From the app: in your account, “Delete my account”. Deletion is permanent and immediate.
Without the app, for example if you have uninstalled it: write to contact@kaptino.com from your account's email address, with the subject “Delete my Kaptino account”. We delete the account and confirm it to you within one month. You do not need to reinstall the app.
What is deleted: your account record and email address, your sign-in identifier, your notification tokens, your pending join requests, your comments, your votes, your player card and its photo, and the free text of the reliability notes you wrote as a captain.
Groups where you are the only captain are deleted entirely, with their matches and history, for all their members, unless the person who created the group is still a member and still has a Kaptino account: the group then goes back to them as captain, and they are notified. Before you confirm, the app lists which groups will be deleted and which will go back to their creator. To keep a group as it is, name another captain before you leave.
If you pay for a group's subscription on Google Play:
- if the group is deleted with your account, its automatic renewal is cancelled: you are not charged again, and nothing is refunded;
- if the group continues without you (it has another captain, or it goes back to its creator), your subscription is not cancelled: Google Play keeps charging you and renewing it until you cancel it yourself, in the Play Store (your profile › Payments & subscriptions › Subscriptions). Kaptino tells you so when your account is deleted. The group's members are told that you have left; the group keeps the period already paid, and if nobody takes over the subscription, creating matches and opening polls are blocked 3 days after the end of that period.
If you pay for a group's subscription on the App Store: Kaptino cannot cancel a subscription paid through Apple, whatever happens to the group or to your account. Apple keeps charging you and renewing it until you cancel it yourself on your iPhone (Settings › your name › Subscriptions). Kaptino tells you so when your account is deleted.
What remains, and why. The goals and assists you scored remain: they belong to the group's history, and erasing them would distort your teammates' season. Your player record remains in the groups, renamed “Joueur supprimé” (deleted player) and detached from your account, so that past line-ups stay readable. Reliability notes remain, without their free text. Reports concerning you are kept for their 18 months. The subscription data of a group you paid for remains, with your former account's identifier. The count of free trial matches used by the groups you created is kept, with your former account's identifier, so that those groups do not get a new free trial when you leave. Your answers to matches already played remain until they are deleted automatically.
Leaving a group is not the same as deleting your account: your record stays in that group, under your name.
Deleting some of your data, and keeping your account
- A message you wrote in a match chat: long-press it, then “Delete”. It is deleted for everyone, permanently.
- Your player card's photo: in the photo options of your card, “Remove the photo”. The file is deleted from storage and your card goes back to its graphic background.
- Your team in the pitch directory (captains): turn visibility off in the group's settings. The team's entries are deleted from the directory.
- Anything else, for example a vote or an answer to a match: write to contact@kaptino.com from your account's email address and say what you want deleted. We reply within one month. Goals, assists and past line-ups stay in the group's history for the reason given above; we tell you when a request touches them.
9. Your rights
You can ask to access your data, correct it, delete it or restrict its processing, object to its processing, and receive your data in a reusable format. Write to contact@kaptino.com; we reply within one month. You can also download a copy of your profile and your player records yourself from the app, with “Download my data”.
If you are not satisfied with the answer, you can lodge a complaint with the CNIL, the French data protection authority: cnil.fr/fr/plaintes.
10. Minors
Kaptino does not ask your age and does not check whether you are an adult. Amateur football is played at every age, and a captain can register a player who is a minor. If you are the legal guardian of a registered minor and want their data removed, write to contact@kaptino.com.
11. Changes
This page changes along with the app. The date at the top shows the latest revision. A change to what we collect, or to how long we keep it, will be announced in the app.
